Benefits of Job Duties

A job duty can be defined as a relevant detail of particular job of an individual based on daily operations. A job duty can be assigned to different departments and the department’s head can further assign it amongst employees. A Job duty is prepared as per the load of the department. It is a responsibility of HR department to draft this layout on the suggestions of senior most personnel of the particular section, but to revise and prepare anything on this matter; prior permission from management is required to be taken by the human resources.

Nowadays, job duties have become a vital factor for every organization. This is helpful to evaluate an individual’s performance and keep a track on it, by every department. These records can be called by the HR department on weekly or monthly basis. On the basis of these records, deserved candidates are rewarded with increments and promotions whereas weak candidates can be chosen out for trainings and further education as depending upon their deficiencies.

The various factors playing important role in practicing job duty are; preliminarily function of the management, critical job responsibilities and time spent on duties. The main purpose of job duties is to maintain the two- way- communication between the supervisor and worker. Thus, with the help of job duties, one can work sincerely.

Preparation of Job Duties

A term which is used to determine and distinguish the daily jobs to be performed by an individual within a company is called job duties. Job Duty is a drafted outline within a professional format and is written in formal language by the Human Resources Department. This format is applicable to all the appointments, whether it is high level or low level. If an employee faces problems during his daily routine, then the job duty format can be recalled to sort out the conflicts.

In few management teams, the job duty format of each employee and worker is handed over to the department head and HR department can be contacted by an individual from any department at the time of addition of duties and misunderstanding. However, a job duty layout comprises of certain attributes, i.e. Name of the person, designation, department, in & out office timings and concerned senior head to whom he or she reports.

A job duty document can be provided to the candidates during an interview which has few fields to be filled by the candidates. These fields can be related to the occupation, particular job function and mandatory works. By viewing the filled form, a candidate can have a brief idea about the offered designation and management can judge the intelligence level of every candidate to select the right candidate. Therefore, a job duty format in helpful in recruitment process.

Importance of Job Duties

Job duties consist of all the primary job responsibilities entrusted to an individual. Before conducting any program of recruitment, HR department specially pays attention towards the job duties. List of job duties is prepared with the involvement of concerned departments from which the request of recruitment has to go. HR department can conduct a small analysis to obtain the information to prepare job duties for a particular recruitment and finally gets it approved by the senior management.

Many times, the department which is encountering the confusion of job duties can put a request to Human Resources to conduct a revision of job duties of each employee or to provide the sheet of job duties again. Job duties are kept as records by the HR department. These can be used for new recruitment processes or can be revised to add certain duties.

Job duties are meant for each section and every employee of the management. These are provided to educate an employee with his/ her job daily job routines and responsibilities as this format helps an individual to grab a clear idea about defined limits. A job duty sheet can be provided to the selected candidate to settle him/ her within an organization. Hence, job duties play an important role to describe daily routines.

Job Duties – List of assigned tasks

The assigned tasks and operations based on daily practices are known as Job Duties. The format of job duty is official and drafted as per management’s rules, terms, conditions and legal norms. To illustrate the job duties, Human Resources Department is responsible. The major roles of HR department are to communicate from high level management to lower level management and responsible for all recruiting programs, initiating new polices as per the requirement. The major job duties of Human resource include the following.

Firstly, the HR communicates with organization’s top management regarding the requirement, issues and problems of each department activated in a particular organization. On the other side, it updates all the departments regarding their approved concerns by the management. HR is basically responsible to control two-way traffic between upper and lower levels of an organization related to the job duties.

Secondly HR section is equally concerned about the staff. Any person who is facing any problem due to some other colleague, subordinate and department head can visit the HR department directly to talk about his/ her concerns. HR ensures the secrecy of the serious issues and takes required initiative to raise it in front of the senior management and keeps the sufferer informed. So the HR works as a moderator which is one of the job duties. Hence, a section of an organization works properly with well defined job duties.
